Successful biotechnology firm seeks an experienced Administrative Assistant to join their company. Ideally, this person will come out of biotechnology and/or start-up. The Administrative Assistant will provide complete administrative support as well as keep all aspects of the firm's operations running smoothly. The ideal candidate is an intelligent and organized self-starter who exercises excellent judgment and is willing to handle new challenges both large and small.
-Manage Outlook calendar, inbox, task list and contacts
-Handle phone and email correspondence, answer and screen incoming calls and take messages with utmost discretion
-Coordinate frequent international and domestic travel, research and book all aspects of the itinerary
-Event planning - organize private parties, events and conferences by arranging cost-effective travel and managing catering, event staff, invitation, entertainment and guest lists
-Provide comprehensive records management of physical and digital files for business, legal, investment, accounting and personal needs
-Office management - manage mail and FedEx, order office supplies, manage facilities issues, provide assistance with researching and coordinating move(s) to new office space
-General administrative duties (faxing, copying, research, managing expense reports, administering wires, taking minutes in business meetings)
-BS/BA degree preferred
-Minimum 3-5 years working experience
-Superior written and oral communication skills; superb telephone manners
-Excellent organizational skills and extremely detail-oriented
-Research, tech and internet savvy; superior knowledge of Microsoft Word
